Registration

  • At least one author per paper must register by June 18, 2019 at the full rate.
  • For each paper to be included in the proceedings, it should be covered by 1 full registration (even if the person who is registering is a student), and each full registration can cover up to 3 papers (the author registering should be co-author of all the 3 papers)
  • A student registration cannot cover a paper. Student registration is available to students by submitting a proof of their student status.
  • Each paper can cover up to 5 pages. No extra pages are allowed.
  • Tutorials and satellite workshop “Congreso XoveTIC. Talento científico en Galicia” can be attended by participants registering either in full registration or in student registration, paying the corresponding fee.

Registration Information
By registering for a paper, you declare your (and, if that paper has more than one author, your coauthors’) consent to the paper’s publication in the EUSIPCO 2019 proceedings (electronic and printed version), in the EURASIP internet Open Library or other online access and in the IEEE Explore digital library.
Students must be prepared to show their student card or any document certifying their student status.
Your payment must be completed (your bank transfer must have been deposited in the Meeting Planner’s bank account or your credit card payment received by MeetingPlanner.gr) by:
June 18, 2019 early fee applies for authors of accepted papers. Authors covering papers must register by this date.
June 28 July 5, 2019 early fee applies for non-authors, early fee for registrants not covering papers.

 

Cancellation Policy

In the unfortunate event that a registration must be cancelled, a refund of all prepaid fees will be made, excluding an administration charge of €100, provided that advance written notification is submitted by July 24th, 2019. No refunds will be made for cancellations received afterwards. All refunds will be handled within 30 days after the end of the Conference.

In the unfortunate event that a person has requested the invitation letter to apply for the visa in the pertinent period and this is denied, if this registration is not associated with any paper, a refund of all prepaid fees will be made, excluding an administration charge of 100€, even if it’s after by July 24th, 2019.

 

No-Show Policy

Papers that are accepted for EUSIPCO must be presented at the conference by one of the authors. Any paper withdrawn after the published deadline or papers that are not presented at the conference by an author shall be deemed a “no-show” paper and will not appear in the conference proceedings nor in IEEE Xplore. A paper may exceptionally be presented by a non-author but this must be approved by the EUSIPCO Technical Program Chairs. Any such non-author presenter must be able to present the work and respond to questions with the same effectiveness as if they were an author. Requests for non-author presenters must be made by email no later than two weeks prior to the conference. Exceptions to this policy can be made at the discretion of the Technical Program Chairs if evidence is provided that the no-show occurred because of circumstances beyond the control of the authors.  No-show paper authors wishing to appeal must email the EUSIPCO Technical Program Chairs no later than 7 days after the start of EUSIPCO and provide their supporting evidence. Appeals are decided by the Technical Program Chairs based on evidence provided. Examples of relevant evidence includes medical documents and visa rejection letters.

 

Letters of invitation

Delegates requiring a letter of invitation in order to attend the Conference may write to the Registration Desk (eusipco2019@oceano-azul.es) specifying all the necessary details. Please note that this procedure aims to assist delegates who need to obtain a visa or permission to attend the Conference. It is not an official invitation covering fees and other expenses and does not imply any financial support from the Conference.
Payment for registration fees must have been finalized, before requesting an invitation letter. Please make sure that in your request to the Registration Desk for an invitation letter you include:

  1. Name, surname, passport number, postal address, and a valid email address
  2. Paper number, if you are presenting a paper
  3. The words “invitation letter request” in the subject field of your email request.

 

The visa letters will be emailed in a printable coloured pdf format and will state only the facts:

  • Conference title, dates, and location
  • That the requester has paid the required registration fee in full
  • If the requester is a committee member, speaker, or presenter

 

Attendees who need visas are advised to apply for it to the respective consulate/embassy no later than 3 months prior to the Conference. For visa information, please visit the Spanish Ministry of Foreign Affairs.

 

Poster printing and delivering service

The Technical Secretariat will print your poster which you can collect at the congress venue. This way you do not need to bring your poster to A Coruña!
To benefit from this service, presenters should:

  • Prepare the poster in Jpg (at least 300 ppp) or PDF (high quality), 90 x 120 cm portrait (vertical), 1 slide only
  • Choose the material for printing your poster:
    • Photographic paper
    • Fabric
